Term Fees & Missed Sessions Policy

Our Term Coaching Fees Policy:

Our group coaching programme runs on a fixed-term basis.

The term fee secures your child's place in the programme, not individual attendance.

As we operate one group coaching session per week and have limited places available, we are unable to offer refunds, credits, or make-up sessions for missed classes. This includes absences due to holidays, school trips, illness, or other personal commitments.

For our A, B and C Squad sessions, we are unable to offer discounts or credits for missed sessions due to the large number of players we accommodate. Managing individual absences on a case-by-case basis would place a significant administrative burden on our team and make it difficult to apply our policy fairly and consistently.

Also, if we were to make exceptions for one player, we would need to extend the same courtesy to all, which is simply not feasible for us to sustain.

Your term fee contributes towards coaching, venue hire, equipment, and the ongoing operation of our programme—all of which remain fixed whether or not a student attends every session.

This policy allows us to continue delivering high-quality coaching while providing fair and consistent treatment for all players.

Representative Tournament Session Credit:

Effective from Term 3, 2026, Tune Table Tennis has introduced a Representative Tournament Session Credit as an exception to the Term Coaching Fees Policy above.

We recognise that some players may miss a coaching session because they have been selected to represent Tune Table Tennis, Auckland, or New Zealand at an eligible tournament.

To support these representative players, a Representative Tournament Session Credit may be available.

A Representative Tournament Session Credit is available only when the player personally participates in an eligible representative tournament on a Saturday and that participation directly clashes with, and prevents them from attending, their scheduled Tune Table Tennis coaching session on the same Saturday.

Please note the following:

  • The player must have personally participated in the eligible representative tournament on the same Saturday as the missed Tune Table Tennis coaching session.

  • The player’s tournament participation must have directly clashed with and prevented attendance at that session. A tournament taking place over a weekend or including a Saturday does not, by itself, qualify the player for a credit.

  • Credits will not be provided for sessions missed because of tournament-related travel, preparation, recovery, accommodation arrangements, or participation occurring only on another day.

  • An application must be submitted for each missed coaching session.

  • Applications will only be reviewed after the tournament has concluded to confirm that the player participated.

  • Credits are not automatically approved and are assessed on a case-by-case basis.

  • If approved, the missed session will be credited towards the player's next term coaching fees.

  • One approved missed coaching session is equal to one session credit.

  • This exception applies only to eligible representative tournaments and does not apply to other absences, including holidays, illness, family commitments, or non-representative competitions.

  • This policy applies only to coaching sessions missed from Term 3, 2026 onwards. It does not apply retrospectively to any missed sessions before Term 3, 2026.
